Privacy policy

Accomata is run by Accomata.com LLC, a company registered in Wyoming, United States.

For the people who sign up to Accomata to run their business, and their staff, we decide how their information is used. For the information a business keeps in Accomata about its own customers and drivers, that business decides, and we look after it on their behalf.

• Your account: your name, business name and email address. Signing in is handled by Google Firebase, which looks after passwords; we don’t store them.
• From QuickBooks, when you connect it: your customers, products and prices, invoices, payments, credit notes and tax codes.
• Your customers: names, email addresses, delivery addresses, orders, invoices and payments, and what they ask the assistant on your ordering page.
• Your email, if you connect your inbox: emails from the customers and addresses you have added are read to set up their orders. For anyone else who emails you, we keep only who the email is from, so we can suggest adding them.
• Your drivers: name, email and phone number, the photos and signatures taken at delivery, and their most recent position while a round is open. We keep only the latest position, not a record of where they have been.
• Payments: card details go straight to Stripe. We never see or store a full card number.
• Conversations with the assistant: kept so you can go back to them.

• To run the service you signed up for: taking orders, planning deliveries, taking payments and keeping your books up to date. This is needed to provide what you asked for.
• To keep Accomata secure and working, and to fix things when they go wrong. This is in our legitimate interest, and yours.
• To keep records the law requires, such as payment and tax records.

We do not sell your information, or your customers', to anyone.

These companies help us run Accomata. Each gets only what it needs for its part:

• Google Firebase: signing in, and notifications to your phone or browser.
• Intuit (QuickBooks): reading and updating your books, when you connect them.
• Stripe: card payments.
• Nylas: connecting your Gmail or Outlook, if you choose to.
• Brevo: sending emails.
• OpenRouter and the AI companies it passes requests to: running the assistant and reading order emails.
• OpenRouteService: working out the order of delivery stops.
• OpenStreetMap: finding addresses on the map.
• Cloudinary: storing product photos and the photos and signatures taken at delivery.
• Our hosting provider: the servers Accomata and its database run on.

Accomata is a United States company, and some of the companies above are based in other countries, so your information may be handled outside the country you live in. Wherever it is handled, it is protected in the way this policy describes.

• While your account is open, we keep what we need to run it.
• After you close your account, your information is deleted within 30 days.
• Backups are cleared within a further 30 days.
• Records the law requires us to keep, such as payment and tax records, are kept for as long as the law requires.

You can ask us to:

• show you the information we hold about you, and give you a copy;
• correct it if it is wrong;
• delete it;
• stop or limit how we use it;
• send it to you, or to another service, in a format you can use.

If you are a customer or driver of a business that uses Accomata, the quickest route is to ask that business, and we will help them.

If you are unhappy with how we have handled your information, email admin@accomata.com and we will look into it and reply.

This site uses no advertising or tracking cookies. We keep a few small settings in your browser, such as light or dark mode and staying signed in. Websites that businesses publish with Accomata ask for their own permission before using any.

If we change how we use your information, we will update this page and change the date at the top.
